As part of our fully integrated ERP system, the EFACS E/8 Project Management module has been developed to act as a ‘project umbrella’ for all kinds of projects. It contains all the information regarding the initial tendering process to ensure the management of a highly successful project. It provides complete confidence in accurate cost and revenue from the beginning, as well as external installation and service. The module can be used to define a project manager and project stakeholders also, ensuring the visibility of all parties involved and any interaction they have with the project. All project information is accessed via a central application, which makes all essential information, such as communications, project activities, copious notes, and documents easily available to all people involved, including architects, designers, and contractors.

The ‘manage projects’ application within this module allows management of stakeholders, quotations, activities and communications, contracts, and related notes and documents. The generation and management of project quotations is completed within this application, from quotation to sales order to standard contract, without the need for specific applications. Sales items are guaranteed to be linked to the appropriate contract with options provided when progressing a quotation to a sales order. The whole process of project management is sped up and made efficient through the ability to generate quotations for contractors because each quotation related to a project may be organised in a single place, saving time and maximising productivity.

Many processes in this module have been automated to ensure efficiency, for example a contact created that is related to a project will automatically be named as a stakeholder on the project. Through the ‘Open Contact’ option, details on stakeholders can be amended, removing the need to navigate to another application. Users can email several stakeholders from within the Manage Projects application, creating easy communication between relevant stakeholders on the project. This is then logged automatically under the project’s ‘Communications’ tab. Any emails received with the project’s number in the subject line can be automatically attached as a project communication by utilising both the Workflow and Communication Tracking modules. Within the Manage Projects application, users can manage contracts won for a project and create new project-related contracts. This ensures a full visibility of the project’s timeline. Many reports have also been enhanced in this module, for example the Report Contract Summary, to include case-related costs and revenue items. The Project Summary Report provides insights into the project as a whole, and users can view detailed costs and revenue for underlying projects.
